The role

The Executive Assistant provides high level administrative support to the Mayor and Councillors managing schedules correspondence and confidential matters with professionalism and discretion. This role fosters trust among elected representatives staff stakeholders and the community while ensuring exceptional public relations and customer service. Additionally, the position supports Councils strategic objectives through proactive assistance coordination and clear communication. 

 

Key Responsibilities 

  • Executive & Administrative Support: You will manage meetings, travel arrangements, correspondence, and confidential documentation, ensuring the seamless coordination of the Mayor’s office.
  • Stakeholder & Community Engagement: You’ll be the face of the Mayor’s office, ensuring positive and professional interactions with community members, business leaders, and government representatives.
  • Office & Diary Management: You will maintain an efficient and well-organised office system, ensuring that schedules, meetings, and briefings are handled smoothly and effectively.
  • Governance & Compliance: You will play a key role in upholding governance processes, maintaining statutory registers, and ensuring Council procedures are followed.
  • Event Coordination: From civic functions to citizenship ceremonies, you will help plan and execute key events that reflect the values and priorities of the Council.

What You Will Bring

We’re looking for a highly organised and proactive Executive Assistant who thrives in a fast-paced environment and can seamlessly manage executive support for the Mayor and Councillors.

  • Strong Administration & Coordination: Proven ability to manage complex schedules, meetings, correspondence, and confidential matters with efficiency.
  • Excellent Communication & Stakeholder Engagement: Skilled in liaising with internal and external stakeholders, maintaining professionalism, and handling sensitive information with discretion.
  • Proactive & Solutions-Focused: Able to anticipate needs, solve problems, and remain calm under pressure in a dynamic environment.
  • Customer & Community Focused: Dedicated to delivering high-quality service, ensuring positive engagement with the community and key stakeholders.

 

Key Selection Criteria

Our ideal candidate will be able to show us the following; 

  1. High Level Executive and Administrative Support: Demonstrated experience in providing high level executive and administrative support including diary and schedule management correspondence handling document preparation and coordination of meetings travel and events. 
  2. Confidentiality Discretion and Political Acumen: Proven ability to handle sensitive and confidential information with discretion and sound judgment particularly in a local government or politically sensitive environment Strong awareness of governance protocols and ethical considerations when supporting elected officials. 
  3. Strong Communication and Interpersonal Skills: Excellent verbal and written communication skills with the ability to draft correspondence reports and briefings as well as engage effectively with diverse stakeholders including Councillors staff community members and external organisations. 
  4. Organisational and Time Management Skills: Demonstrated ability to prioritise tasks manage competing deadlines and work effectively under pressure in a dynamic environment while maintaining accuracy and attention to detail. 
  5. Customer Service Excellence and Stakeholder Engagement: A strong commitment to high quality customer service with the ability to liaise professionally and courteously with internal and external stakeholders ensuring positive community engagement and responsiveness to inquiries. 
  6. Proficiency in Technology and Office Systems: Advanced proficiency in Microsoft Office Suite Word Excel Outlook and PowerPoint and experience with records management systems electronic diaries and other administrative tools relevant to executive support and local government operations.

  • A copy of a recent National Police Check (less than 3 months) 
  • A current drivers licence

Any other mandatory requirements outlined in the position description (e.g. first aid, CPR, WWCC, forklift) 

The completion of a pre employment functional assessment paid for by the council might also be required

If applicable evidence regarding right to work in Australia will need to be presented
